The Four Things You Need to Know

Deposits Are Non-Refundable

A 25% deposit holds your date. It is non-refundable as cash, but it carries over in full to any rescheduled date.

Free Rescheduling

You can reschedule your event at any time, as many times as needed, at no charge — just give us 7 days notice.

Weather is Always Free

Either party may cancel for unsafe weather conditions. Your deposit carries over to a new date — no penalties, no fees.

We Cancel = Full Refund

If Desert Air Cinema ever cancels on our end for any reason, you receive a complete refund of all payments made.

Detailed Terms & Conditions

All terms below are also outlined in the service contract you sign at booking.

Deposits & Payment
25% deposit holds your date A small 25% deposit gets your date on the calendar. The remaining 75% balance is due on the day of your event.
Deposits are non-refundable Deposits cannot be returned as cash or credit. However, your deposit is fully transferable to a rescheduled event date — it is never lost.
No payment plans We operate on a deposit + balance structure only. Payment plans are not available at this time.
Customer Cancellations
No cash refunds on cancellations If you choose to cancel your event, your deposit will not be returned as a cash refund regardless of how far in advance you cancel.
Your deposit transfers to a new date — free of charge Rather than losing your deposit, you may apply it toward any future event. Simply reschedule instead of cancelling and your deposit carries over in full.
Rescheduling
Free rescheduling — anytime, as many times as needed There is no limit on the number of reschedules and no rescheduling fee. Your deposit carries over to the new date every time.
7 days advance notice required Reschedule requests must be submitted at least 7 days before your scheduled event date. Requests made within 7 days may be accommodated at our discretion but cannot be guaranteed.
How to reschedule Contact us directly by phone or email with your booking details and preferred new date. We'll confirm availability and update your booking at no cost.
Mid-Event Cancellations

On rare occasions, a customer may need to end the event after it has already begun. The following applies based on how much of the scheduled screening time has elapsed at the time of cancellation.

The travel fee, when applicable, covers fuel, drive time, and logistics for the rescheduled visit. The exact amount will be communicated to you before the new date is confirmed.

Weather & Unsafe Conditions
Either party may cancel for weather As the equipment provider, Desert Air Cinema reserves the right to cancel any event when weather conditions pose a safety risk to guests, equipment, or staff. Customers may also cancel due to weather concerns.
Weather cancellations are always free to reschedule Whether we make the call or you do, a weather-related cancellation results in a free reschedule with your full deposit carried over. No penalties, no fees.
Tucson monsoon season (June–September) We are experienced with Tucson's weather patterns. If monsoon activity is forecast for your event evening, we will work with you proactively to find the best solution — including same-week reschedules where availability allows.
Our Cancellation Commitment

If Desert Air Cinema cancels for any reason on our end — equipment failure, staffing, or any other issue within our control — you will receive a full refund of all payments made, including your deposit. No questions asked.

We take our commitment to your event seriously. In the rare event that we cannot fulfill our end of the agreement, we believe you deserve your money back in full — promptly and without hassle.

Service Contract & Equipment Damage
A service contract is signed at booking All customers are required to read and sign a service contract before their event is confirmed. This contract outlines all terms in detail, including deposit conditions, rescheduling, liability, and equipment care.
Equipment damage Customers are responsible for any damage to Desert Air Cinema equipment that occurs during their event beyond normal wear and tear. Specific damage terms, liability limits, and replacement costs are detailed in your service contract.
