Our rental packages are all-inclusive, providing every component required for a seamless cinematic event. Each package includes a professional-grade inflatable screen, a high-definition projector, a full sound system, a Blu-Ray/DVD player, all necessary cabling, and a certified on-site technician who manages the complete setup, operation, and teardown.

Clients are requested to provide two items for the event:

• A standard, dedicated 120V power outlet located within 100 feet of the designated setup area.
• The film or media for viewing, provided on DVD or Blu-Ray disc.

Our team manages all other technical aspects of the presentation.

Optimal projection quality requires darkness to ensure a vibrant and clear image. We recommend scheduling the movie's start time for approximately 15 to 20 minutes after the official local sunset. Our high-lumen projectors are designed for nighttime viewing and cannot be operated in daylight conditions.

Event bookings are processed on a first-come, first-served basis, with weekend dates filling up rapidly. Reservations can be made through our online booking portal or by contacting our office at (520) 719-5895. Upon booking, your selected date is guaranteed, and you will receive a formal confirmation email. An account is required to manage your booking, which allows for modifications up to seven days prior to the event date.

To secure a reservation, a deposit is required at the time of booking. Cinema packages require a 50% deposit, while individual equipment rentals require a 10% deposit. The remaining balance is due on the date of the event, prior to the commencement of setup. Payments can be made via credit/debit card or cash. If paying by cash, please provide the exact amount, as our technicians do not carry change. Corporate checks may be accepted with prior written approval.

Cancellation Policy
Cancellations must be made via your online account or by phone. All deposits are non-refundable. If a cancellation is made seven (7) or more days prior to the event, no further charges will be incurred. For cancellations made with less than one (1) day notice, the client is responsible for 100% of the total invoiced amount.

Weather Policy
For the safety of our clients and the protection of our equipment, we cannot operate in rain or in sustained winds exceeding 15 mph. We strongly recommend arranging an indoor backup venue. If inclement weather is forecasted, you may reschedule for a future available date at no additional charge, provided the decision is communicated to us before our team is dispatched to your location. Once our team is on-site, the full rental fee is charged.

Our standard procedure includes an arrival time of approximately 60 to 120 minutes prior to sunset to begin the setup process. The full installation, including audio and projection tests, is typically completed within this timeframe. After the event concludes, the teardown and removal of all equipment takes approximately one hour.

Early Access Fee: Any time requested beyond this 2-hour window is billed at a rate of $75 per hour.

Example: for a 4-hour setup, if we arrive 4 hours before the show, you will be charged for 2 hours ($150).

Yes, we are equipped and fully insured to operate in public venues, including parks, school grounds, and community centers. The client bears the responsibility for securing all necessary event permits from the venue's governing body and for obtaining the appropriate public performance license for the film being shown. Please refer to our Licensing page for further details.

We accommodate poolside movie events with stringent safety measures. Depending on the venue layout, we may utilize a specific water-resistant screen or employ a rear-projection setup to ensure all electronic equipment remains a safe distance from the water. Please inform us of your intention for a poolside event during booking to ensure proper planning.

Certainly. Our audio-visual systems are versatile and can project a wide range of content beyond films. This includes live television for sporting events, video game consoles for interactive entertainment, karaoke, photo slideshows, and corporate presentations. Please specify your media requirements at the time of booking so we can prepare the necessary connections.

Full-Service Cinema Packages
A travel surcharge applies to events located more than 50 miles round-trip from our office. This fee is calculated based on mileage and will be itemized in your formal quote.

Equipment-Only Rentals
We provide can provide delivery within a 25-mile radius of Tucson for $25. For deliveries between 25 and 50 miles, a fee of $25 plus $0.65 per mile is applied. We do not offer delivery for equipment rentals beyond 50 miles; these rentals are available for client pickup only, subject to a security deposit and ID verification.

Cactus Outdoor Entertainment LLC maintains a comprehensive general liability insurance policy with coverage of $2,000,000 aggregate. Upon request, we can provide a certificate of insurance (COI). If your venue requires being listed as "additionally insured," please notify us in advance, as this service may be subject to an administrative fee depending on the specific wording of the endorsement requested.
